Terms and Conditions All students are expected to have read, understood and agreed to the Terms and Conditions on Avalon’s main website.
These conditions are the terms of contract between the student and Avalon School of English.
In addition to our Terms & Conditions, here is a summary of essential information regarding payment, cancellations and our privacy policy.
Course Payment Non-visa Students
Non-visa students may pay by cash or card on arrival at the school. To book a place on a course in advance or to book accommodation, students may pay by bank transfer, cash, debit or credit card (there is a 3% charge for credit cards but no charge for debit cards).
Student Visitor Visas and Extended Students Visitor Visas (SVV & ESVV)
A non-refundable, non-transferable deposit of £250 is required. Students will receive an enrolment letter for their visa application.
General Student Visas (Tier 4 GSV)
A non-refundable, non-transferable deposit of £160 is required. Students will receive an enrolment letter with a unique CAS number. This number is to be used on their Visa Application Form. This visa is only available to students who have reached B1 (intermediate) level English.
Course Registration Fee (£50) FREE FOR STUDENTS WHO PAY ONLINE!
A £50 registration fee is charged for any new enrolment. Students wishing to re-enrol within one year of the end date of their previous course will not be charged the enrolment fee.
Cancellations due to visa refusal
Cancellation due to visa refusal will result in the loss of the deposit and Accommodation Finding Fee. The student must supply the School with the original notice of refusal from the British Embassy or Consulate and return the Certificate of Enrolment to obtain a refund.
Refunds
Most online payments will be refunded within 30 days. Refunds may take up to 90 day to process depending on the method of payment used and whether investigation into the student’s visa situation is required. Once the course has started, students will not be refunded course fees. In special circumstances, students may be allowed to freeze their course. This decision will be made at the discretion of Avalon management and only in accordance with visa regulations.
Accommodation Payment
Accommodation is subject to availability and must be booked in advance.
Accommodation bookings are confirmed only when full payment is received. Accommodation and course fees must be paid in full before you can arrive at your accommodation. For the Student Residence and Student Shared Houses, Avalon must check availability before confirming your booking.
Accommodation Finding Fee (£50)
This is non-refundable and non-transferable. The Accommodation Finding Fee is £50 and is charged per booking. Group bookings are subject to a different rate and group leaders will be advised of rates in their quotation.
Accommodation Cancellation / Postponement
Notice of cancellation or postponement of Homestay Accommodation must be made at least 2 weeks in advance to the school in writing. Cancellation at this time will result in the loss of the Accommodation Finding Fee (£50) but all other fees will be refunded.
Shared Student Houses
4 weeks cancellation notice is required. Cancellations/postponements made less than 4 weeks before arrival will result in a loss of 4 weeks’ rent and the Accommodation Finding Fee.
Student Residence
Fees for the Student Residence are non-transferable and non-refundable. Please book carefully only once flights and visa are arranged.
Other Information
Insurance
Avalon recommends that students take out insurance for their course, travel and accommodation. Non-EU students are strongly advised to take out insurance to cover medical bills whist in the UK.
Transfers
Students must provide the following accurate information at least 3 working days in advance; date, airport, airline, terminal number, flight number and arrival time. If incorrect details are supplied, Avalon cannot refund transfer fees if the student is not met.
Holidays
Students are not charged for public holidays or the School’s annual Christmas Closure. Students are allowed a holiday period in accordance with course duration.
Attendance Policy
All students are expected to attend classes. In accordance with UKBA’s attendance policy for visa students, Avalon School has an obligation to inform the Home Office if your attendance falls below the required minimum. In addition to paper registers held by teachers, Avalon uses a biometric terminal in each building to monitor attendance. The system is algorithm-based and does not store fingerprints. Visa students who are excluded from school will not be refunded their course fees.
Privacy Policy and Data Protection Avalon School is committed to protecting the data we hold on our students and partners.
Avalon School endeavours to:
· comply with our obligations under the Data Protection Act 1998 and any other relevant legislation;
· keep your personal information secure
· maintain our records to the best of our ability while adhering to standards of privacy
Avalon School of English pledges not to use your data for any other purpose other than our core business practices. We also pledge not to sell your data to any outside agency.
Any information collected about you will be treated as confidential and will only be used as follows:
· For considering any applications you make to us and for the administration of your course
· For statistical analysis
· For marketing purposes, except where you tell us not to
Our Commitment to processing data in a secure fashion
Avalon School of English will process applications from our website and internally on our systems using the latest secure data techniques. All payments processed through Avalon’s online payment site are made through a secure server and secure payment gateway.
